Information Collection and Use
AAF Black Hills is the sole owner of the information collected on AAFBlackHills.org.
We request information from scholarship applicants on our online application forms. During the application process, an applicant must provide contact information (such as name, email, phone number and physical address). This information is used solely for contacting applicants regarding scholarship information such as winners and deadlines.
Like most websites, our server activity is recorded in log files. These log files include internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks to analyze trends, administer the site, track user movement in the aggregate, and gather broad demographic information for aggregate use. IP addresses, etc. are not linked to personally identifiable information.
Communications from the Site
AAF Black Hills employs a “double opt-in” policy regarding email communications. Applicants who wish to receive scholarship-related information must voluntarily provide their email address through our online scholarship application, and then confirm their request by clicking a confirmation link in a subsequent email. Only after completing this double-opt-in process will an applicant receive scholarship-related emails from AAF Black Hills. Out of respect for our users’ privacy, every email we send provides a link enabling the applicant to opt-out of these communications. Please see the Opt-in/Opt-out section below for more information.
Sharing of Collected Information
We DO NOT share any applicant’s personal information with any third party, except in the following instances:
When required by law wherein we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order or legal process served on AAF Black Hills.
In the event AAF Black Hills goes through a business transition, such as a merger, being acquired by another company, or selling a portion of its assets, users’ personal information may be part of the assets transferred.
Our applicants are given the opportunity to “opt-out” of receiving email communications from AAF Black Hills at any time. Every email we send contains a link to opt-out of all further communications from AAF Black Hills. Once an applicant opts out, he/she can never receive emails from us at that email address again. Users who no longer wish to receive our communications may also, at any time, opt-out of receiving these communications by sending an email to firstname.lastname@example.org with “unsubscribe” in the subject line.

AAF Black Hills takes every precaution to protect our applicants’ personal information. When users submit information via the Website, their information is protected both online and off-line using both technological and organizational safeguards.
All of our users’ personal information is restricted in our offices. Only employees who need the information to perform a specific job are granted access to personally identifiable information. Our employees must use password-protected screen-savers when they leave their desk. When they return, they must re-enter their password to re-gain access to user information. Furthermore, ALL employees are kept up-to-date on our security and privacy practices. Every quarter, as well as any time new policies are added, our employees are notified and/or reminded about the importance we place on privacy, and what they can do to ensure that our users’ information is protected. Finally, the servers that store personally identifiable information are in a secure environment, in a locked facility.

Correcting/Updating/Deleting/Deactivating Personal Information
If a user’s personally identifiable information changes (such as zip code, phone, email or postal address), or if a user no longer wants to receive our communications, we provide a way to correct, update or delete/deactivate users’ personally identifiable information. This can be done by emailing our scholarship coordinators at firstname.lastname@example.org.
Notification of Changes
Any changes to this privacy statement will be posted on this page, the home page, and other places we deem appropriate so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.
